Operations & Admin Coordinator

Part-Time (School Hours) | Phillipstown, Christchurch

We’re looking for a highly skilled Operations & Admin Coordinator to join our team and help take our growing brand, to the next level. We want to hear from you if you’re tech-savvy, detail-oriented, and love keeping things running smoothly!

What You’ll Be Doing
  • Managing our main email inbox and warehouse email, ensuring timely and professional communication.
  • Providing friendly and efficient customer support – via email, phone, and in person.
  • Processing customer orders accurately and efficiently.
  • Handling customer refunds, exchanges, and other e-commerce-related customer service issues.
  • Liaising with couriers and troubleshooting shipping issues to ensure smooth order delivery.
  • Overseeing inventory control to keep stock levels accurate and organised.
  • Keeping everything in order – document management, admin processes, scheduling, and streamlining systems.
  • Overseeing and supporting our Production Assistant to ensure smooth daily operations.
  • Handling ad-hoc tasks – we’re a small team, so sometimes you'll need to jump in where needed.
  • Bringing fresh ideas and improvements – we value initiative and want someone who isn’t afraid to speak up if something could be done better.
What We’re Looking For
  • A pro at organisation and admin – you live and breathe efficiency and organisation.
  • Tech-savvy – experience with Shopify is a plus, and you should be comfortable learning new software.
  • A great communicator – clear, professional, and friendly in emails, calls, and face-to-face interactions.
  • A strong problem-solver – you take initiative, think independently, and adapt as needed.
  • Experience in product-based e-commerce is a big advantage.
  • An all-rounder – willing to step outside your job description to help the team when needed.
  • Passionate about what we do – an interest in natural personal care products, ethical sourcing, or small business operations is a bonus!
  • Adequate experience is essential – this role requires someone confident and capable of efficiently managing operations.
